· Laurence is happy that we do something over the weekend, sports day, and formal dinner than a party.
· Willie said it will be good to involve our tamariki-ice blocks etc, fundraising to fund weekend.
· Gary To do this annually
· Ivan Where are we going to play, age groups for the sports day
· Jackie Summer time, Sports day at the Bay Roskill Club
· Millie shared that we want to look at a venue so we don’t have to work; she has made enquiries regarding different ideas i.e. buffet dinner with entertainment. Hills bowling club. Cossie club. If we keep it local we don’t have to work however we may be able to share transport. Maybe we could hire a bus to drive everyone home.
· Melissa mentioned Vanessa Smith who offered her farm (Kaukapakapa) at Dave’s tangi for the whole thing, there’s heaps of room and we could bring our own BBQ, tents etc. Consensus was that it might be too far for the first one.
· Josie’s neighbour has the portaloo contact.
· Victoria Hutchinson can provide sports equipment.
· Audie is happy as long as we are together-keep it local if possible
· Rose will go with everyone’s decision
· Malu stay with our roots and keep it local also keep fundraising simple. Venues with Hay Park or Keith Hay Park (Pricing?)
· Laurence says Hillsbourough Cricket Club is out because it is too expensive. Need numbers over 200 people. Farm is the cheapest but in his opinion also the most work. Bay Roskill grounds hirage is $150.00 and definitely worth looking into. To our own menu thinks we should have it catered. Maugakeikie Golf Club could be an option.
· Milly suggested Mangere Pools because of numbers
· All agreeable to a sports day, Social Evening. Maybe done over a weekend with the option to meet on Sunday to finalise the weekend and plan for the next year.
· Evening Dinner are children going to be there
· Suggestions for a date FEB, AUCK ANIVERSARY, WAITANGI, need to have something decided today!
· Who is Roskill Sth? So many teams-dos we start with the originals and progress?
· Next meeting Sun 27th June 3pm- Agenda, venue Committees to be set up, organising a programme for the weekend, funds- How will we do it, registration ect. Who has an IHUG account to get a web site set up?

· Venue booked for Bay Roskill FEB 26th 2011.
· Numbers at Bay Maximum 300 people. Laurence to stay in touch with Mike to secure the booking and to liaise regarding any sausage sizzles to be done there for fund raising.
· Restriction was agreed-start with people in the photos & who played at Hay Park up to Cecil’s team. These people need to REGISTER themselves so we have a role. Cut off date for registration and money to be voted on at July meeting, along with registration amount.
· $20.00 per member in attendance at this meeting-this is to start a kitty for photocopying, receipt books and opening a bank account. This amount is not the agreed registration amount, but receipts will be given and if desired this donation will be taken off the final registration amount. This point was not clarified sufficiently at the meeting, so it will be discussed and agreed upon at the July meeting.
· Toa agreed to be the second signatory on the bank account with Kay. Her landline is 629 0006 and will be the main contact for enquiries and registration.
· Malu will be the moderator for enquiries on the face book pg Roskill Sth Community.
· Each family present agreed to present at the next meeting their own list of names and ages with the $20.00. Kay has asked Audi to create a registration form to copy and post to members outside of Auckland as well as us to keep correct details of name, age and numbers attending and for what activities e.g. sports/social evening. To be distributed to agreed members names on role.
· Nick offered all mailing to go through him to reduce our costs

· Kay turned 45 on Tuesday and Vincent 49 Happy birthday
· Melissa taking minutes, will type up and e-mail to Audie at audie@ihug.co.nz
· Resolution for numbers, this is something that has and will continue to be bought up as everyone is interested in the reunion. If people want a say they need to be at the meetings otherwise tough, someone is always going to be disappointed as “you can please sum of the people, sum of the time, HOWEVER, you can’t please all of the people all of the time”.
· Motion: Start with Roskill Sth Touch (Nick, Laurence) motion passed
· Numbers for social evening 300 people and no children under 18 yrs old. How it will be monitored will need further discussion.
· Motion: Pay $100.00 on Bay Roskill Club grounds. (Nick, Jack) Motion passed
· Confirmation in regards to $20.00 registration is only for initial costs (discussed in previous meeting).
· Discussion and suggestions around food. Kay thinks that lunch packs for the children during the day would be the go however after long discussions nothing is yet confirmed. Ideas include sausage sizzle (maybe mad butcher) BBQ, meat bread drinks lollies scramble which all need pricing.
· More discussion concerning catering for evening or pot luck (still undecided)
· Bank account opened (KIWIBANK) Cheque book being sent out. Nick became signatory with Kay because Toa was too hard to contact

· Receipt book costing ($27.99) Kay needs to be re-embersed $7.99 as the other $20.00 that she paid for receipt book will go towards her registration.
· Malu will bring 2 receipt books from home to saved costing.
· Consider what we want planned for the day, Malu has that sussed and will bring plan to next meeting.
· Discussions around T-Shirts, Memorial Shield for DAVE, $1.00 donation for charitable cause, posts on face book , website, activities for kidz, meat, numbers being members first, then their families and need for registration date so it can be opened out to others if possible.
· Numbers should not matter during the children’s day, ONLY at the after function
· Need to discuss when evening meal will be. If it is before or after the children go home. Is it going to be casual or formal?

· Registration: Clarified registration priority as people in original photo, then branch out to people who should have been in photo’s (neighbourhood), next their families and anyone else interested in attending if there is space available.
· Registration is currently $20.00 per family and $20 for young people 18+ (this is for evening)
· Registration form will be placed on Audie’s website when up and running.
· Registration can be made manually or through existing bank account.

· Registration for members closes the last week of November; then will be opened up to others.

Registration: Registration Money: Mary $80.00, Vince $60.00, Laurence $20.00. There was a discussion to open the registration up to anyone who has connections to Roskill South; still the most important thing is registration money. Some money has gone into the account for registration with no name. Put name and reference in for registration otherwise make contact with someone on the list.
Feedback:
· Kay not well, waiting on tests, Bubs not long on this universe our prayers for her and her whanau, Peter Bentley had a baby son. Main people at this meeting are getting hoha so please members step up, Registration money needs to be in so we can pay for things
· Shirts: Laurence says there all go, which he and Audie may do it themselves and Audie has quotes for printing.
· Photocopying: Nick will photo copy more registration forms.

Mary said that it’s too early to be speaking of this (keep it simple) but it was good to think of the Big Picture for the future.
· Itinerary: Malu has taken us through games for the day (sounds exiting, any suggestions to make it a fun filled day still welcomed). Cecil will make up a run sheet. Someone suggested inviting Mai FM.
